Overview

AMAC is an industrial instrumentation, automation, calibration and field-services company operating from Al Khobar, Saudi Arabia.

A broad digital-transformation program was implemented covering AMAC's public digital presence as well as its internal ERP, quotation, invoicing, sales, procurement, document-management and AI-assisted workflows.

Instead of implementing isolated applications, the project created a connected ecosystem around:

Corporate Website + Odoo ERP + ZATCA E-Invoicing + Custom Odoo Modules + MCP + AI + Microsoft Email + n8n + SharePoint + RFQ Management + Sales Intelligence

AMAC Corporate Website

A corporate website was designed and implemented for AMAC to position the company professionally within the Saudi industrial market.

Business Positioning

The digital presence was structured around AMAC's major capabilities including:

  • Design Engineering
  • Instrumentation
  • Industrial Analyzers
  • Flow Measurement
  • Calibration
  • Automation
  • PLC / SCADA / HMI
  • Electromechanical Works
  • Field Services
  • Shutdown & Turnaround Services
  • Industrial Maintenance

Industry Positioning

Website content was aligned toward industrial sectors including:

  • Oil & Gas
  • Petrochemical
  • Water
  • Utilities
  • Manufacturing
  • Industrial Contractors

Corporate Presentation

The website provides a structured presentation of:

  • Company capabilities
  • Industrial services
  • Technology solutions
  • Brand partnerships
  • Contact information
  • Corporate credentials

Branding

AMAC's corporate digital identity was aligned with its existing brand, logo and industrial positioning.

The company also maintains English/Arabic corporate identity requirements suitable for operations in Saudi Arabia.

Platform & Hosting

The corporate website operates through a WordPress-based environment hosted on Hostinger.

ZATCA-Compliant Odoo ERP

AMAC's internal business-management environment was designed around a customized Odoo ERP implementation suitable for Saudi Arabian commercial and tax requirements.

The production environment operates on:

  • Odoo 16
  • PostgreSQL
  • Custom Odoo addons
  • Saudi VAT configuration
  • ZATCA electronic invoicing components

ZATCA & Saudi E-Invoicing

The ERP environment includes dedicated Saudi electronic-invoicing functionality.

Custom/deployed modules include:

  • einv_sa
  • advanced_vat_invoice
  • accounting_pdf_reports
  • AMAC-specific sales-reporting modules

Capabilities

The environment supports:

  • Saudi VAT invoices
  • Electronic invoicing
  • VAT calculations
  • Commercial invoice generation
  • Customer invoice records
  • Credit notes
  • Accounting reports
  • ZATCA-oriented invoice workflows

This created an ERP structure aligned with AMAC's Saudi commercial operations.

Custom Proposal Cover System

A dedicated module, amac_sale_proposal_cover, was developed to improve the presentation of AMAC quotations.

Instead of immediately starting with Odoo's standard quotation layout, the system creates a professional full-page proposal cover before the commercial offer.

Cover Information

The proposal cover can include:

  • Proposal number
  • Customer
  • Proposal date
  • Prepared for
  • Prepared by
  • RFQ reference
  • Corporate branding

The normal detailed quotation begins from the following page.

RFQ Reference Customization

A dedicated RFQ Ref. field was added to AMAC sales orders and quotations.

The field allows a quotation to maintain both the project description and customer RFQ reference.

Example structure:

Supply of 3 Electromagnetic Flowmeters – RFQ 2985

The RFQ reference is also visible within quotation and sales-order listings, helping the team search records using the customer's own reference.

Customized Sales Reports

The Odoo environment contains customized sales-reporting capabilities including:

  • Proposal cover reports
  • Customized quotation reports
  • Sales reports
  • Sales-order reports without price
  • Advanced VAT invoice layouts
  • Accounting PDF reports
  • Line-item sequencing

These reports were designed around AMAC's industrial quotation and project-sales workflow instead of relying entirely on generic Odoo templates.

Odoo ERP Integration

AMAC's production ERP was further connected with external AI and automation systems.

ERP information made available includes:

  • Customers
  • Contacts
  • Products
  • Sales quotations
  • Sales orders
  • Purchase orders
  • Vendors
  • Invoices
  • Pricing information
  • Product descriptions
  • Historical transactions

This enables AI-assisted business analysis without requiring unrestricted direct database access.

Secure AMAC MCP Layer

A dedicated MCP/API architecture was introduced between AI systems and Odoo.

Security Controls

  • Odoo ACL preservation
  • Allowed-model lists
  • Operation-level permissions
  • Restricted API exposure
  • Controlled read access
  • Auditable requests

The architecture ensures AI systems cannot arbitrarily access unrestricted ERP models.

AMAC Odoo MCP Addon

A dedicated AMAC-owned Odoo addon provides governance for AI connectivity.

Capabilities include:

  • Odoo model discovery
  • Model-access validation
  • ACL-aware permissions
  • Operation validation
  • Model allowlists
  • Controlled integration endpoints

This gives AMAC control over its AI-to-ERP interface rather than depending entirely on external connector logic.

Sales Order & Quotation Intelligence

AI can analyze sales quotations and orders to identify:

  • Customer history
  • Product history
  • Previous selling prices
  • Similar quotations
  • Commercial patterns
  • Lost and successful opportunities
  • Existing technical descriptions

This improves quotation preparation and sales decision-making.

Purchase & Supplier Intelligence

Purchase-order information can be analyzed to retrieve:

  • Previous suppliers
  • Historical procurement prices
  • Purchase history
  • Vendor relationships
  • Previous product sourcing
  • Supplier quotations
  • Order references

This creates institutional purchasing memory instead of depending on individual employees remembering previous transactions.

AI-Assisted RFQ Processing

Customer RFQs can be converted into structured information.

The workflow identifies:

  • Customer
  • Contact person
  • RFQ number
  • End user
  • Project
  • Required products
  • Required services
  • Quantity
  • Technical specifications
  • Submission deadline
  • Attachments

The information can then be connected to the relevant sales and document-management workflow.

Email-to-RFQ Automation

Incoming sales email acts as an operational trigger.

Workflow

Incoming RFQ → Detect enquiry → Identify customer → Extract RFQ information → Extract technical requirements → Save attachments → Search existing ERP information → Match previous enquiries → Register structured opportunity → Store documents → Trigger quotation workflow → Schedule sales follow-up

This transforms email from a passive communication channel into part of the sales-processing system.

Sales Follow-Up Intelligence

The solution supports structured sales follow-up.

AI can identify:

  • Quotations awaiting customer feedback
  • High-value opportunities
  • Strong PO potential
  • Technical clarification pending
  • Discount requests
  • Customer follow-up required
  • Supplier response pending
  • Expiring quotations
  • Opportunities requiring management attention

This gives the sales team a more actionable pipeline.

RFQ Tracking

AMAC's RFQ workflow is connected to structured tracking information.

Tracked information can include:

  • RFQ number
  • Customer
  • Project
  • End user
  • Salesperson
  • Quotation number
  • Offer value
  • Status
  • Technical status
  • Commercial status
  • Follow-up
  • Expected PO

SharePoint Document Management

Project documentation is organized into appropriate customer/project structures.

Documents can include:

  • Customer RFQs
  • Supplier offers
  • AMAC quotations
  • Technical datasheets
  • Drawings
  • Purchase orders
  • Invoices
  • Correspondence
  • Project documents

This creates a persistent project history outside individual email inboxes.

Supplier & Brand Intelligence

The system supports AMAC's relationships with industrial manufacturers and suppliers.

Historical information can be retrieved for brands such as:

  • KURZ Instruments
  • Secvensor
  • Siemens
  • ABB
  • Emerson
  • Honeywell
  • Schneider
  • Yokogawa
  • Krohne
  • FLEXIM
  • Panametrics
  • Endress+Hauser

This enables faster sourcing and commercial comparison.

Industrial Project Intelligence

The connected environment supports AMAC project histories involving customers such as:

  • Saudi Aramco
  • SABIC
  • National Water Company
  • Industrial contractors
  • Petrochemical plants
  • Utility operators

AI can retrieve related historical transactions, offers and communications to support new opportunities.

n8n Automation Infrastructure

A self-hosted automation environment was established.

Infrastructure includes:

  • n8n
  • PostgreSQL
  • Docker Compose
  • Nginx
  • HTTPS
  • Dedicated application database
  • Encrypted credentials
  • Controlled application exposure

This infrastructure acts as the automation layer between enterprise systems.

Microsoft Email Integration

AMAC sales communication can be incorporated directly into operational workflows.

Use cases include:

  • RFQ discovery
  • Customer updates
  • PO detection
  • Technical clarification tracking
  • Supplier quotation retrieval
  • Follow-up analysis
  • Project communication history

AI-Connected Sales Workspace

The architecture allows conversational interaction with business information.
